Office Manager - work space focus (all genders)

Your role
As our Office Manager, your primary focus will be shaping functional (and aesthetically) pleasing office environments for our growing organization. You will lead projects involving office moves, workspace setups, and coordinating with contractors and suppliers to ensure seamless execution. This role goes beyond creating a beautiful space; it’s about strategically aligning our office setup with the needs of our teams and ensuring smooth day-to-day operations.

  • Collaborate with your Lead Office Manager and two fellow Office Managers to create vibrant, dynamic workplaces and refine workflows for enhanced efficiency and sustainability.
  • Plan and execute the layout of team spaces, balancing functionality, ergonomics, and aesthetics.
  • Oversee the furnishing and equipping of workspaces, including desks, chairs, shelves, and other essentials.
  • Drive office moves and expansions across three buildings and ten floors, ensuring minimal disruption and a smooth transition for all teams.
  • Coordinate with contractors, suppliers, and service providers to manage renovations, installations, and repairs.
  • Take full ownership of office management projects and administrative tasks, driving efficiency and scalability at every stage
Your profile
  • Minimum 1 year of experience in office management focus on work space / office space, facility management or operations management within a startup or fast-paced growth environment
  • Proven ability to enhance efficiency and support organisational growth
  • A structured and process-oriented mindset, with the ability to adapt and thrive in a changing environment
  • A conscientious, independent working style with strong prioritisation skills
  • A proactive, open, and collaborative nature, with a genuine passion for creating a positive work environment for all teams
  • Very good communication skills in English and German, availability for a minimum of 30-40 hours per week on-site, and a Class B driving license is a plus
